1. Technology Work Completed and In Progress

The Technology Department has built and continues to maintain a comprehensive digital platform that powers African Fresh Market's marketplace, customer operations, payments, communications, and management reporting. The following areas are live and in active use:

AFM Website and Marketplace

A full e-commerce marketplace with product catalog across 11 categories, product detail pages, shopping cart, promotional pricing, member pricing, product bundles, campaign banners, and customer reviews with ratings. The marketplace is live and processing customer orders.

Customer Ordering and Checkout

A complete checkout flow with server-side price validation (customer-submitted prices are never trusted), delivery address selection with map integration, delivery time slots, order tracking, and order confirmation. Multiple payment methods are supported including IremboPay, mobile money, and wallet.

Product and Inventory Systems

Product management with variant support, promotional pricing with scheduled start and end dates, procurement cost tracking, category-level pricing configuration, price change history with management approval workflow, and supplier management. The supply chain portal allows staff to manage procurement costs and recommend price adjustments based on landed cost and target margins.

Customer Accounts and Customer Management

Customer account system with authentication, session management, linked WhatsApp identity, saved address book, referral attribution, and membership linking. Customers can register, log in, manage their profile, and view their order history.

Membership Plans and Membership Benefits

Membership subscription system supporting free and paid tiers, membership checkout, onboarding flow, renewal, upgrade, partner discounts, birthday rewards, and member points. Membership benefits are applied automatically at checkout based on the customer's active plan.

Referral and Rewards Systems

Employee referral tracking, influencer referral program with commission management and payouts, member referral rewards, and referral link attribution. Referral codes are captured from both link visits and manual entry, with first-wins attribution that is permanent per customer.

Payment Integrations

IremboPay integration (primary payment provider, with sandbox and production modes), Paypack, MTN Mobile Money, and an internal wallet system with top-up and transaction history. Payment recovery automation handles pending and failed payments, and all payment activity is logged for debugging and audit.

WhatsApp Business / Meta Integration

A full WhatsApp automation hub including conversation management, in-chat cart and checkout, support ticket creation and handling, broadcast messaging, message templates, team management, session management, identity verification via OTP, knowledge base, and analytics. This is one of the most active areas of development.

Email Communication Systems

Resend integration for order confirmations, event ticket confirmations, membership confirmations, support ticket replies, waitlist emails, broadcast campaigns, and daily executive briefings. Email delivery is tracked separately from payment and ticket status.

Customer Support and Feedback Systems

Structured support tickets with SLA monitoring, conversation history, customer feedback collection with AI-assisted analysis, post-delivery feedback journeys, CSAT tracking, and voice-of-customer reporting. Support requests can originate from WhatsApp, the website, or email.

Admin Dashboards

Administrative tools for product management, membership management, pricing and cost management, staff user management, partner management, promotional campaigns, hospitality QR codes, influencer management, run club registrations, and recipe management.

Executive and Management Dashboards

Six executive dashboards — Executive Overview, Sales and Marketing, CTO/Technology, Customer Service, Operations, Supply Chain, and Visitor Intelligence — all powered by real-time data with KPIs, alerts, PDF export, and automated daily email briefings.

Reporting and Business Data Visibility

Daily executive tracker with immutable snapshots, revenue analytics, customer funnel analysis, website traffic analytics, visitor journey mapping, drop-off analysis, conversion rates, product performance, and customer segmentation.

Order Management

Full order lifecycle from pending through confirmed, processing, ready for delivery, rider assigned, out for delivery, and delivered. Includes cancellation workflow, order status history, and a separate operations order system for supply chain fulfilment.

Customer Notification Systems

Automated order lifecycle notifications via WhatsApp and email, membership notifications, support ticket lifecycle notifications, birthday rewards, and a notification ledger for idempotency to prevent duplicate sends. The subscription reminder workflow was retired together with AFM's egg subscription service (October 2026); the remaining notifications are unchanged.

Supplier-Related Technology Workflows

Supplier management, supply chain portal with staff authentication, procurement cost entry, pricing approval workflow, supply chain dashboard, delivery proof capture, and rider management.

Security and Access Control

Row-level security on all database entities, separate authentication systems for staff, customers, riders, and supply chain users, session management with expiry, brute-force protection, and audit logging for administrative actions.

System Monitoring and Troubleshooting

Production error tracking, payment debug logging, deployment verification with policy enforcement, error heatmaps, payment recovery audits, IremboPay diagnostics, and automated test order cleanup.

Internal Operational Tools

A workspace application for internal team time tracking, task management, project management, meetings, and daily summaries. An operations command center for order management, rider dispatch, delivery zones, inventory, suppliers, and packing.

Automation of Manual Processes

Over 20 scheduled workflows running automatically, including operational exception scanning, payment recovery, test order cleanup, WhatsApp session timeout management, birthday reward processing, product validation, waitlist email automation, channel synchronization, daily tracker snapshots, weekly operations reports, monthly delivery usage resets, and influencer payout processing.

2. Current Technology Challenges

Email Capacity

AFM is currently using the Resend email service under its free allowance. The free plan provides 3,000 emails per month with a hard limit of 100 emails per day. The daily limit is the binding constraint.

Yesterday, AFM sold approximately 10 event tickets, in addition to normal customer order confirmations, membership emails, and other system-generated messages. This brought us close to reaching the 100-email daily limit. As ticket sales, order volume, and customer communication increase, the free email allowance will become insufficient and may result in undelivered emails.

WhatsApp / Meta Verification and Messaging Costs

AFM is increasing its use of WhatsApp for customer communication and notifications. We are working toward formal Meta Business verification, which is required for production-level WhatsApp messaging.

WhatsApp messaging is not a fixed monthly subscription. Meta charges per delivered template message, with rates varying by message category and recipient country. As AFM's WhatsApp usage grows, this will become a usage-based operating cost that management should budget for. Details are provided in the cost forecast section.

Payment Reliability

The IremboPay integration is functional but requires ongoing hardening. Payment failures, webhook delivery issues, and sandbox-to-production transitions need continuous monitoring to ensure customers can complete purchases without interruption.

Data Consistency Across Systems

AFM operates multiple connected systems — the website marketplace, WhatsApp sales channel, membership system, and supply chain operations. Keeping customer identity, orders, and communication history synchronized across these channels requires ongoing attention.

System Monitoring and Proactive Error Detection

While error logging exists, the platform needs stronger proactive monitoring so that technology problems are identified and resolved before they significantly affect customers or daily operations.

Scalability

The platform must continue to support increasing customers, orders, payments, and communications without requiring major rebuilding. Several areas, including database queries and notification throughput, will need optimization as volume grows.

3. Resend Email — Verified Pricing and Limits

The following pricing was verified from Resend's official pricing page (resend.com/pricing) and documentation (resend.com/docs/knowledge-base/what-is-resend-pricing), accessed on 25 September 2026.

PlanMonthly CostEmails / MonthDaily LimitOverage Rate
Free (current)$03,000100 / dayNot available — sending pauses
Pro$20 / mo50,000No limit$0.90 per 1,000 emails
Pro$35 / mo100,000No limit$0.90 per 1,000 emails

What this means for AFM: The free plan's 100-email-per-day limit is the constraint that will force an upgrade. A single busy day with ticket sales, order confirmations, and customer support emails can exceed this. The Pro plan at $20/month removes the daily limit and provides 50,000 emails per month, which is more than sufficient for AFM's current and near-term volume.

Trigger to upgrade: When AFM regularly approaches 80+ emails per day, or on any day where ticket sales plus normal operations exceed the 100-email limit. The Pro plan at $20/month is the recommended next step.

4. WhatsApp / Meta — Verified Requirements and Pricing

Meta Business Verification Requirements

To use the WhatsApp Business Platform at production level, AFM must complete Meta Business verification. This requires:
  • A registered Business Manager account with Meta
  • Business documentation: certificate of incorporation or business registration
  • Business address, phone number, and website
  • A business representative's contact information for verification
  • The verification process typically takes up to 3 business days
Verification is completed once per Business Manager account and applies across all Meta platforms (Facebook, Instagram, WhatsApp).

WhatsApp Business Platform Pricing (Rwanda)

Meta charges on a per-message basis for template messages delivered to WhatsApp users. Rwanda falls under Meta's "Other" pricing region. The following rates are from Meta's official rate card, effective July 1, 2026, verified via Meta's developer documentation (developers.facebook.com) on 25 September 2026.
Message CategoryRate per Delivered Message (USD)When Charged
Marketing$0.0604Always charged on delivery
Utility$0.0077Charged when sent outside an open customer service window
Authentication$0.0077Charged on delivery
Service (non-template replies)Free until Oct 1, 2026From Oct 1, 2026: $0.0077 per message (1,000 free/month per number)
Key points for management:
  • Fixed costs: There is no monthly subscription or platform fee from Meta. The only fixed requirement is business verification (one-time, no charge).
  • Usage-based costs: AFM pays per delivered template message. Marketing messages (promotions, offers) are the most expensive at approximately $0.06 each. Utility messages (order confirmations, delivery updates) cost approximately $0.008 each.
  • Free messages: Non-template replies within an open 24-hour customer service window are currently free. Utility templates sent in response to a customer message within that window are also currently free. These become chargeable from October 1, 2026.
  • Volume discounts: Utility and authentication messages qualify for volume discounts (5–25%) at higher monthly volumes. Marketing messages do not qualify for discounts.
  • Example monthly cost: If AFM sends 500 utility messages (order confirmations, delivery updates) and 100 marketing messages per month, the estimated cost is: 500 × $0.0077 + 100 × $0.0604 = $3.85 + $6.04 = approximately $9.89/month. This will scale with usage.

Summary: The only technology services that are currently incurring direct per-transaction costs are the payment providers (IremboPay and MTN MoMo), whose fees are deducted from transaction amounts. Email (Resend) and WhatsApp are currently free or near-free but will become operating expenses as usage grows. The Base44 platform provides hosting, database, and backend infrastructure as part of the current arrangement. Supabase is a planned future cost — all data storage will migrate to Supabase when AFM reaches 250 members, at which point the Pro plan at $25/month will be required.

6. Technology Department Goals

The following goals reflect the actual direction of the AFM platform for the next 3–6 months:

System Reliability

Ensure the AFM platform remains stable and available as customer and order volume increases. This includes hardening payment processing, improving error recovery, and reducing system downtime.

Customer Experience

Reduce payment failures, checkout issues, and communication failures that directly affect customers. Every technology problem that a customer encounters is a priority to fix.

Business Visibility

Continue improving management and executive dashboards so that leadership can clearly see customers, orders, payments, memberships, referrals, support activity, and other important business information in real time.

Single Source of Truth

Continue connecting the different AFM systems — website, WhatsApp, membership, supply chain, and support — so that management and staff are always working from accurate and consistent information.

Communication

Strengthen email and WhatsApp communication so that customers reliably receive order confirmations, payment notifications, membership updates, and other important messages. This includes upgrading email capacity and completing WhatsApp Business verification.

Automation

Reduce repetitive manual work by improving workflows and automating processes where appropriate. Over 20 automated workflows are already in place; additional automation will be added as operational needs are identified.

Security

Improve user permissions, access control, audit trails, and protection of customer and business information. Each staff role should have access only to what they need.

Monitoring

Improve monitoring and error detection so that technology problems are identified and resolved before they significantly affect customers or operations.

Scalability

Ensure the current platform can support increasing customers, orders, payments, and communications without requiring major rebuilding of core systems.

Cost Control

Keep technology costs under control while ensuring that free service limitations (particularly email) do not begin to affect business operations. Plan for the transition from free to paid services before they become urgent.

7. What I Foresee for AFM Technology

Increased System Usage

As customer numbers and orders increase, the demand on the marketplace, database, payment systems, and internal tools will increase. The platform needs to be ready to handle this growth without performance degradation.

Increased Communication Costs

Email and WhatsApp usage will increase as more customers place orders, purchase memberships, buy event tickets, and interact with AFM. Services that are currently free will become recurring operating expenses. This is expected and should be planned for.

More Automation

As operations increase, more manual processes will need to be automated to reduce workload and human error. The Technology Department will continue identifying repetitive tasks that can be automated through scheduled workflows.

More Data

AFM will generate increasingly large amounts of customer, order, payment, membership, referral, support, and operational data. The Technology Department will need to continue improving reporting and management visibility to make this data useful for decision-making.

Greater Importance of Reliability

As AFM becomes more dependent on the platform for daily operations, system failures, payment problems, or communication failures will have a greater operational impact. Reliability will become increasingly critical.

Stronger Security Requirements

As more staff members use the platform and more business and customer information is stored, stronger access controls, permissions, and audit trails will become increasingly important to protect the business and its customers.

Increasing Technology Operating Costs

Some services that currently operate under free plans will eventually need to move to paid plans based on usage. This includes email, WhatsApp, and potentially other third-party services. These costs should be anticipated and budgeted for.

More Connected AFM Systems

The long-term direction is for the marketplace, customers, memberships, payments, communication, support, referrals, inventory, and management reporting to work together as one connected system rather than separate tools. This is an ongoing effort.

8. 3–6 Month Technology Forecast

Based on the current state of AFM, the Technology Department expects to focus on the following priorities over the next 3–6 months:

1

Platform Reliability

Continue hardening the platform to reduce downtime and improve recovery from errors. Focus on the areas that most directly affect customers.

2

Payment Reliability

Strengthen the IremboPay integration, improve payment failure handling, and ensure the payment recovery system catches pending payments before they expire.

3

Customer Communication

Upgrade email capacity from the free Resend plan to a paid plan before the daily limit becomes a problem. Complete WhatsApp Business verification to enable production-level messaging.

4

WhatsApp / Meta Implementation

Complete Meta Business verification, expand WhatsApp notification usage, and ensure message templates are approved and functioning for order, payment, and membership communications.

5

Email Infrastructure

Move from the free Resend plan to the Pro plan ($20/month) when daily email volume regularly approaches the 100-email limit. Ensure email delivery is reliable and tracked.

6

Management Reporting

Continue improving executive dashboards and the daily executive tracker. Ensure management has accurate, real-time visibility into all areas of the business.

7

Customer Support Systems

Improve the support ticket system, SLA monitoring, and feedback collection to ensure customer issues are resolved promptly and trends are identified early.

8

System Monitoring

Improve proactive error detection and alerting so that technology problems are caught before they affect customers or operations.

9

Security and Permissions

Review and strengthen access control across all systems. Ensure each staff role has appropriate permissions and that audit trails are complete.

10

Automation

Identify and automate additional manual processes to reduce operational workload and human error.

11

Data Accuracy

Continue improving data consistency across the website, WhatsApp, membership, and supply chain systems so that all reporting reflects accurate information.

12

Technology Cost Management

Monitor email and WhatsApp usage closely. Transition to paid plans at the right time — not too early, but before free limits begin to affect operations.

13

Data Storage Migration to Supabase

When AFM reaches 250 members, migrate all data storage from the current platform to Supabase. This provides a dedicated, scalable database with 8GB capacity, authentication, and file storage. The Pro plan at $25/month will be required at that point. Migration planning should begin before the 250-member cap is reached.

9. Technology Cost Forecast

8GB database, 100GB file storage, 250GB bandwidth. Free tier (500MB) may suffice initially but Pro is recommended for production reliability.

Cost classification: Two confirmed new recurring costs are anticipated: the Resend Pro plan at $20/month (triggered when daily email volume approaches the free limit) and the Supabase Pro plan at $25/month (triggered when AFM reaches 250 members and all data storage migrates). WhatsApp costs are usage-based and will grow with customer communication volume. Payment provider fees (IremboPay and MTN MoMo) are already in place and scale with transactions. The Base44 platform covers hosting, database, and backend infrastructure under the current arrangement, though data storage will transition to Supabase at the 250-member milestone.

10. Management Attention Required

The following technology decisions require management awareness:

Email Capacity Upgrade (Resend)

AFM is approaching the 100-email-per-day free limit. On busy days with ticket sales and normal operations, we are close to exceeding it. The Pro plan at $20/month removes the daily limit and provides 50,000 emails per month. This is a small, predictable cost that prevents a real operational problem — emails not being delivered to customers.

WhatsApp / Meta Messaging Budget

As AFM uses WhatsApp more for customer notifications (order confirmations, delivery updates, support messages), per-message charges from Meta will apply. At current usage levels, the cost is low (estimated under $10/month). As usage grows with customer base expansion, this will increase. Management should be aware that WhatsApp is not a free channel at scale — it is a usage-based service.

Meta Business Verification

Completing Meta Business verification is required for production-level WhatsApp messaging. This is a one-time administrative process (no cost) that requires business documentation. It should be prioritized to ensure WhatsApp communications are not interrupted.

Payment Provider Transaction Costs

Payment providers (IremboPay and MTN MoMo) charge per-transaction fees that are deducted from payment amounts. These are already in place and scale automatically with sales volume. No action is needed, but management should be aware that payment processing costs grow in proportion to revenue.

Supabase Data Migration (250-Member Milestone)

AFM plans to migrate all data storage to Supabase when membership reaches 250 members. This will require the Supabase Pro plan at $25/month, providing 8GB database capacity, 100GB file storage, and 250GB bandwidth. The migration is a significant infrastructure change that should be planned and budgeted for before the 250-member cap is reached. Management should be aware that this is a confirmed future cost, not a potential one.

Infrastructure and Platform Costs

The current platform arrangement covers hosting, database, and backend services. If usage grows significantly, the platform plan may need to be reviewed. This is not immediate but should be monitored as the business scales.

Technology Investment for Reliability

As AFM grows, small investments in monitoring, automation, and system hardening will prevent larger costs from system failures, lost orders, or customer dissatisfaction. The Technology Department will flag specific investments as they become necessary.
